**_Groups & Events Planning Coordinator_**

**_Mission_**: To ensure groups and events are booked and converted in line with the hotel’s strategy. To ensure the planning, organisation and efficient operation of the Groups & Events Department. To organise all aspects of the groups and events processes once receiving the contract and to include pre-event logistics, on-site event management and post event follow up and billing. To maximise customer satisfaction in order to ensure return of business. To ensure all leisure enquiries and tour series are handled efficiently.

**Responsibilities will include, but are not limited to**:

- To arrange show-rounds of the Hotel and all the facilities for new and existing clientele.
- To chase prospect and tentative leisure group bookings for confirmation and conversion.
- To chase definite group bookings for a rooming list and create special F&B packages to generate increased revenue.
- To be present on the floor throughout the event (whenever that might be, depending on the nature of the event) to ensure that all requirements are fulfilled and delivered and any sales opportunities for this event or the future are exploited.
- To ensure that all accommodation requirements relating to conference business are correctly administrated.
- Prepare all relevant paperwork for the weekly BEO meeting on Thursdays and ensure that all information is communicated to the other departments.
- To ledger off all accounts within 72 hrs after the event.
- Ensure the office is permanently manned and all telephone enquiries are answered immediately.
- To handle minor guest and customer complaints with precision, speed, professionalism and according to the Hotel's procedure.
- Deal with all internal bookings to the standard, as and when requested.
- Prepare and ensure the distribution of the daily function sheets (with diverse account and billing instructions).
- To prepare the Leisure Group forecast for the Revenue Manager.
- Sort out and deal with all incoming mail daily and ensure all information is communicated to the relevant persons as soon as possible.
- All leisure enquiries are to be answered within 4 hours, wherever possible, or eight working hours at the maximum and entered into the system.

What are we looking for?
- Previous Experience in a similar role
- Be fluent in English
- Additional Spanish would be beneficial
- Opera knowledge
