Contract Support Manager - Derby

Facilities Contract Support Manager Up to 30,000 per annum

The overall purpose of the role is to provide contract support to the 14forty Facilities Management contract covering both hard & soft services. Experience with multiple IT software and accounting software and the ability to prepare and present presentations, reports and budget summaries are essential.
You must be able to work effectively and collaboratively with a small team of colleagues, where mutual support is vital to the achievement of the contract and Compass' objectives. Building relationships with other key central departments (TUPE, HR, Finance, Administration) as well as close working relationship with the Account Management Team are key to success in this role.
Key Responsibilities include but not limited to:
  • Production of KPI statistics and performance to agreed service level agreements in a format suitable for client review meetings. This includes production of quarterly summary reports giving trend analysis.
  • Process and manage to completion any site security/accreditation passes for all staff attending site ensuring no delay in site access or disruption to service delivery.
  • Maintenance of cleaning consumable spend and managing of site budgets.
  • Manage the Ad -Hoc and project works within the account by raising the SCCF and tracking invoicing to payment.
  • Maintenance of P files for all personnel across the contract
  • To assist with IT service requests for the contract
  • Manage the reward and recognition voucher scheme in line with HMRC /Compass process.
  • Booking of travel and hotel requirements in support of the wider management team
  • Support the management team in managing Foodbuy on-line invoicing and payments.
  • Maintaining documentation relating to the contract and contract variations
  • Undertake a full range of quality reporting both weekly and monthly as required - audits, PPMs, site Inspections etc. through the system detail.
  • Undertake administrative duties in support of the wider Central Administration Team,
  • Diligent report monitoring
  • Support Management with Month end site invoicing review process, file receipts and invoice back up where relevant.
  • Answer and deal with queries and telephone calls from customers, colleagues, and team members.
  • To be the key interface with all sub-contractors, 3rd party suppliers and strategic supply chain in respect of their on-boarding onto the AVL.
  • Creation of Foodbuy helpdesk tickets through to the supplier being fully aligned to the account.
  • To collate relevant info for highlight in client review meetings, including "good news" etc. stories.
About You:
  • Previous facilities management experience
  • Previous experience in labour scheduling
  • Previous expose to management reporting
  • Good commercial acumen
  • Strong IT skills - in particular Excel & Powerpoint
  • Interpersonal, communication and organisational skills
  • Flexible to travel nationally as required
