Responsibilities:

  • Answering incoming calls promptly and directing them to the appropriate person.
  • Dealing with routine and difficult enquiries from telephone callers and visitors effectively, efficiently and professionally.
  • Conveying messages clearly, quickly and accurately. 
  • Signing in arrivals and obtaining signatures for all goods collected on the appropriate form.
  • Checking deliveries and sign paperwork.
  • Booking meeting rooms and informing staff of availability.
  • Ensuring reception area is kept presentable at all times.
  • Photocopying, printing and/or scanning all documents and bundles of documents as requested, using appropriate machine.
  • Arranging, ordering and providing catering for meetings and events.
  • Ensuring all meeting rooms are cleared and left tidy after meetings/events.
  • Providing general administrative support and housekeeping duties to the office as needed.
