Job summary

We are looking for an experienced, enthusiastic and well organised Bank PA to support our Deputy Service Director and Consultant Clinical Psychologist. You will be required to work to a very high standard of accuracy, have excellent organisational skills and be able to demonstrate initiative in planning your own workload in a way that supports the work of the Service Director & Clinical Psychologist. Working with our friendly and understanding staff you will have a pivotal role in supporting them.

You will need to have good time management skills, the ability to organise and prioritise work along with an understanding of, and a commitment to patient confidentiality. This is a very busy department and the post holder should, therefore have the ability to work under pressure. You should have experience and a proven background in all aspects of secretarial/office work ideally within a medical / hospital setting however this is not absolutely necessary. It would be advantageous if you have Medical Secretary experience with RSA or equivalent experience plus working knowledge of Microsoft Office packages.

Main duties of the job

To provide a high standard of secretarial and administrative support to the Deputy Service Director and Consultant Clinical Psychologist & their teams

Managing a complex and very busy diaries for the Deputy Service Director and Consultant Clinical Psychologist, including arranging meetings, travel and venue bookings.

Arrange meetings, including preparing meeting schedules, drafting of agendas, receiving and distributing papers, printing papers or loading them onto appropriate platforms, and preparing and updating action trackers.

Managing the Deputy Service Director and Consultant Clinical Psychologist in-box, using tact, discretion, and diplomacy to ensure that correspondence is handled appropriately

Collaborating with a range of internal and external stakeholders to organise meetings.

Co-ordinating arrangements for meetings and events as well as preparing correspondence, reports and presentations and producing minutes.

Take and transcribe formal minutes for specified management level meetings (and ad hoc meetings when required), producing and distributing minutes in an accurate and timely manner.

It would be desirable if the candidate was proficient with excel and packages that help create visual representations, such as Visio.
