The position of Executive Assistant involves:

Being a key role in supporting the Managing Director. Provide support in diary management, organising meetings and general administration. Screening phone calls, enquiries, requests and handling them when appropriate. Preparing correspondence and interacting with customers on behalf of the Managing Director. Organising monthly meetings, room bookings, writing agendas and lunches. This will also involve meeting and greeting visitors at all levels of seniority on arrival and providing refreshments. Keeping track of outstanding actions required for Managing Director, setting up meetings with relevant Senior Management Team members in order to complete them as required. Event Management including organisation of annual Management Conference (c. people) and other offsite events. To provide high quality documents, reports and presentations in a timely manner for the Management Board and other ad-hoc meetings. Travelling with the executive team for monthly board meetings/site visits. To provide assistance when required to the Chief Executive, Group Legal, Fleet & Sustainability Director and Group Finance Director. Attending meetings to support the Directors, minute taking and sending out of actions and minutes to attendees. Capturing actions and decisions in Monthly Management Board Meeting and circulating. Manage email and other correspondence related to organisational activities. Representing the company on social media; monitoring any contributions that require responses. Keeping customers records up to date, tracking changes and support when needed. Publishing customer and people communications for the Executive Team. Travel bookings (flights, trains & hotels). Dealing with sponsorship/charity engagements and responding.

Essential skills required for Executive Assistant:

A confident character with experience of operating effectively at a senior level and have the ability to manage upwards when required. Ability to quickly build good working relationships at all levels and collaborate effectively with a range of internal/external contacts. Adaptable, flexible and resilient, able to cope with the pressure of managing the demands of a high volume of work and meeting deadlines. Experienced practitioner with excellent accuracy, communications skills, both written and verbal as well as keeping confidences. Displays tact and diplomacy, dealing discreetly with confidential information. Good organisational skills are critical along with the ability to prioritise workloads and manage time successfully. Proficiency in Microsoft Excel, Word and PowerPoint in preparation of material at senior level. Experience of organising events with the ability to create a stand-out event. UK Driving licence due to travelling with other sites.

Salary for Executive Assistant is from £32,pa - £37,pa, Depending on Experience. Hours of work are Monday to Friday 08:30hrs – 17:00hrs.
