Job summary

To be part of a shift system that provides ward clerk and reception cover 365 days per year, including Christmas & Bank Holidays. To provide an exemplary Ward Clerk/Reception service to PICU and ensure that clerical needs are met on a daily basis. To maintain real time bed management & a high standard of data quality.

Main duties of the job

To ensure that hospital systems are updated in real time.

To implement Business Continuity plans when computerised systems are unavailable, and assist in data entry following system outage.

To be able to communicate effectively with parents and all visitors.

To welcome, meet and greet all visitors in a professional courteous manner.

To deal with all enquiries in a helpful and sensitive manner.

To be able to recognise difficult situations and help diffuse them whilst retaining composure & willingness to assist.

To communicate with staff at all levels from within PICU and across the trust.

Person Specification

Qualifications

Essential

Good standard of secondary education including GCE/GCSE English or equivalent, C grade or above or equivalent. Level 2 Qualification or equivalent knowledge and experience ECDL or equivalent

Knowledge/Experience

Essential

Ability to accurately file in strict alpha/numerical/date order Extensive administration experience in a busy environment Demonstrable ability to use MS office packages Ability to make decisions in situations/courses of action which require analysis

Desirable

Previous experience working in a ward environment Previous experience working in an NHS setting NHS setting Knowledge and understanding of the Data Protection Act (GDPR) 2018 & patient confidentiality

Skills

Essential

Excellent telephone manner Excellent communication and interpersonal skills Articulate Methodical Able to work well within a team Able to work independently Able to remain calm under pressure Able to learn quickly Able to collect and deliver patient casenotes to and from areas around the trust. Able to use a trolley to move heavier loads, stationery.

Desirable

Experience of using Patient Administration Systems Working knowledge of Health & safety in the workplace legislation
