The role will have a strong emphasis on data quality, customer care and taking a lead role in maintaining accurate patient notes and data both on the Trust’s electronic systems and in the patient’s medical records. The ward clerk is the first point of contact in welcoming and answering patients / visitor queries on the ward. They will provide full admin and clerical support to the ward multidisciplinary team. Effective teamwork and a keen focus on the Trust’s Vision & Values are essential.

1. Ensure all medical records are tracked in and out of the department.
2. Filing clinic letters in notes
4. Collecting and deliver medical records from all departments.
5. Answering telephone queries and supplying general information, referring to senior team members for advice where necessary.
6. Liaising with Medical Records, Appointments and relevant departments.
7. Confirming admission
8. Filing
9. Answer incoming calls, dealing with enquiries/queries redirecting calls where necessary
10. Ensuring booking forms are collected daily for the team
11. Photocopying
12. Ordering stationery
13. Book hospital transport where necessary
14. File all case notes correctly documenting appointment times and discharge date and complete admission book with all relevant information. Returning notes to the coding office
15. Provide administrative advice and support, i.e. typing of letters as required by the ward manager/sister/matron.
16. Mandatory Training
17. Take part in PDR each year

This is not an exhaustive list of duties and a regular review will take place with the postholder as part of their ongoing development and performance management.

The interview process will include assessments on literacy and numeracy as well as IT skills.
