About the role

The Portfolio Management Office is a newly developed integral part of the NSA that underpins all training by managing business process and governance requirements to support training development and delivery. It sits under the Chief Training Officer and is overseen by the PMO Programme Manager delivering to all areas of the NSA

The PMO Admin role will undertake activities to support the PMO's provision to all NSA customers aiding training delivery to internal and external customers.

Successful candidates will take personal responsibility for providing and overseeing all administrative functions required by the PMO to deliver its function. They will also be responsible for liaison with other Administrators in the NSA ensuring that the NSA administration is delivered in a coherent and effective manner.

Role Responsibilities

  • Monitor and manage NSA inbox enquiries. Distributing emails to the relevant stakeholders and ensuring action/replies are undertaken in a timely manner, chasing up as required.
  • Conduct all necessary onboarding activities for new joiners within the PMO. This can include, but is not limited to: liaison with the new Line Manager, liaison with contracting companies, booking inductions, setting up My HR accounts, setting up My Learning Hub accounts, organising/arranging supply of company IT.
  • Act as the single point of contact for administrative collaboration across the NSA on a weekly basis and wider business as required.
  • Oversee and manage, giving advice & guidance to PMO members as necessary, the PMO's file structure and SharePoint.
  • Deliver administrative support directly for the PMO Programme Manager and the HPC, Nuc Ops & Renewables Project Mangers as required. Give broader administrative support the whole PMO.
  • Undertake site and course bookings for PMO members and visitors, as requested by the PMO management team; this should cover, HPC, GBP & Aztec West as standard business but could extend to other locations with appropriate notice.
  • To act as the PMO's SME advising and supporting all PMO members in site/room/visitor bookings.
  • To be the liaison between the Hd NSA/CTO's PA and the PMO.
  • Assist the PMO in generation and dissemination of briefing packs in support all activities listed in the PMO Outputs battle rhythm.
  • Seek best practices replication and continuous improvement for administration tasks.
  • To assist and advise on all administrative functions during the development of the NSA governance/management documentation, developing and drafting sections for inclusion as necessary.
  • Support the management of KPIs.
  • Support Inspiro performance evaluation.
  • Support the development of post course feedback reports.
  • Oversee and manage the share point file system for the PMO. Adding/removing individuals and providing administration of the system as necessary
