Job summary
The post-holder will be an active member of the Sheffield Teaching Hospital Department of Psychological Services (DPS).
They will work in admin, overseeing the administration from referral to discharge across the various services across STH.
They will work with the Service lead and each of the clinical teams to provide excellent patient care with the support of their colleagues and the Admin Supervisor.
Main duties of the job
The post holder along with the DPS Clerical Officers will provide a centralised efficient and effective clerical service for DPS including the management of outpatient referrals, booking of appointments, and typing of clinic letters, in line with Trust and Departmental standards.
The post holder will work with the clinical teams to maximise clinic utilisation and support the Service Lead with Caseload Management, highlighting capacity concerns to both the Admin Supervisor and the Service Lead.
The post holder will ensure that the quality of data recorded in the Patient Administration System for all outpatient activity is of the highest quality, regularly monitoring data quality reports and taking corrective action where required. They will monitor the RTT Patient Treatment List to ensure patients are seen within the required Trust targets and action taken to raise issues with the Services Lead and Admin Supervisor.
They will also provide regular Service performance information to help manage the service and make informed decisions.

Within services, a core aim is to enable patients to appropriately access, navigate and engage with healthcare where there are challenges related to psychological and mental health difficulties, whether there are historical mental health difficulties that impact on their physical healthcare or where psychological and mental health difficulties are a consequence of physical health challenges.
We are part of the Therapeutic and Palliative Care (TPC) Directorate which sits within the Combined Community and Acute Care Group within STH

Minimum 5 GCSE or equivalent, to include English Language & Mathematics (4/C grade or above)
Desirable
IT qualification European Computer Driving Licence, or equivalent Typing qualification OCR 2 or equivalent Word Processing NVQ Level II in Business Administration / Customer Service/ IT
Experience

Significant clerical experience gained from working within a patient administration department in a hospital setting Experience dealing with the general public A demonstrable understanding of the importance of data quality and the impact of poor quality on operational systems Experience of proactive involvement in service development/improvement
Desirable
Experience of using a Patient Administration System ie Lorenzo Secretarial experience including audio-typing correspondence/letters Work experience of inpatient, outpatient or waiting list management Experience of working within a MDT setting Experience of putting performance reports together and analysing information Experience recording, retrieving and collecting patient information within the NHS
