Job description

Job responsibilities

To provide a high quality, confidential secretarial and administrative service to the Deputy Director, General Manager, Operational Services Manager and Senior Nurses for Child Health and maintain effective administration systems to enable the efficient running of the management office.

Play a key role in communication between members of the management team and Business Unit staff.

To be responsible for the organisation of the Child Health Business Unit Management Team diaries.

Responsible for the overall administration of Child Health Business Unit Board meeting and all other Business Unit meetings chaired by a member of the management team, co-ordination of yearly plan of meetings, booking venues, preparation of agenda/supporting papers, taking formal minutes and taking relevant follow-up action.

Qualifications

Essential

Educated to GCSE (or equivalent) in English Language or equivalent knowledge A recognised secretarial qualification to at least RSA 3 typing/word processing, audio skills and shorthand or equivalent experience NVQ Level 3 Business Administration Certificate plus further knowledge aquired through formal training or equivalent experience

Desirable

ECDL/Advanced ECDL

Experience and knowledge

Essential

Postholder must be proficient in all aspects of computer software packages (Word, Excel, Access, PowerPoint) to prepare presentations, complex documentation, databases and minutes of meetings Previous PA/secretarial experience Experience of transcribing minutes of meetings

Knowledge and experience of the Health Service environment Knowledge of or experience in coaching and mentoring practices and tools Knowledge of or experience in Quality improvement tools, techniques and methods
