The Administrator will be responsible for allgeneral administrative duties within Alnwick Medical Group.

The Administration department consists of 6 sub departments, Scanning & Coding, Summarising, GP Administration, Nurse Administration, IT & Private Paperwork this role will focus on the scanning & coding sub department.

You will be required to support the team as a whole covering other sub departments to meet the business needs. This may also mean moving sub departments if the business requires.

Carry out any other reasonable duties within theoverall function, commensurate with the grading and level of responsibility ofthe post.

Expected to help cover in all 6 sub-departmentsof the Administration department

Deal with any messages and queries from thePractitioners

Telephone manner, system knowledge & skill

Working with computers, and medical records systems

Liaise with Primary Care, Secondary Care, CommunityServices and other outside agencies

Any other relevant administrative duties which maybe required

Job responsibilities

Job Summary

The Administrator will fallinto the Scanning sub department but maybe required to work or support in one of the other 5 sub departemnst within the Administration Department and Alnwick Medical Group.

Key tasks and Responsibilities

Scan and read code relevant information frompatient clinical records into the practice computer system, working strictly inaccordance with the practice scanning and coding protocol. As well as other roles within the scanning sub-department. Review medical records and produce an accuratesummary of the patients medical history. Sortingpatient records and letters. Reviewingmedical records to produce a comprehensive summary of patients medical history. Ensuringknowledge of the Read Codes system. Inputtingdata using the Read Codes system. Retrievingpatient medical records and interpreting data for the use of clinical staffmembers Auditingdata collection to ensure Practice standards are met. Maintainingpatient registration and recall systems Ensuringthat medical records are complete and accurate ahead of each consulting session. Keepinga methodical system of filing allowing for the quick retrieval of files Ensuregeneral upkeep of paper files, repairing when necessary. Maintainfamiliarity with scanning and coding protocols. Minute taking for multi-agency & inhouse meetings. To carry out any other reasonable duties withinthe overall function, commensurate with the grading and level of responsibilityof the post. Ad-hoc administration duties & be prepared to help with cover in all departments of the Administration Team.

Qualifications

Essential

- GCSE (or equivalent) in Maths and English - NVQ (or equivalent) - Basic IT

Desirable

- NVQ in Customer Service, Health or Business management -Knowledgeable and skilled in the use of SystmOne or other clinical systems. - Proficient typing skills - Knowledge of GP schedules, training requirements and commitments

Experience

Essential

- Experience working with computers, and medical records systems. - Experience of letter writing - Experience of independent and team working - Experience with working with computers, and medical records systems - Previous telephony experience - Experience working closely with Clinical Staff

Desirable

- Experience working under indirect supervision. - Experience of working in a GP practice - Experience working with primary care.

Knowledge & Skills

- Sound knowledge of SystmOne - Excellent telephone manner, system knowledge & skill

Desirable

- Previous read-coding experience - Good knowledge of medical terminology - Previous experience working within a scanning/coding role.
