We are looking for a Facilities Support Assistant to join our on-site team based at our Cambridge head office in Trumpington.


This position will be a blend of reception, corporate hospitality and general building maintenance covering a range of tasks to support in the day-to-day running of Bidwell House.


What you’ll be doing:


  • Providing front of house assistance, including answering calls via a switchboard, meeting and greeting visitors and assisting colleagues with enquiries.
  • Carrying out and supporting on site services tasks.
  • Monitoring the car park to ensure adherence to the company car parking policy.
  • Replenishment of washroom supplies.
  • Keeping meeting rooms clear, clean and ready for use, ensuring water and refreshments are available, arranging IT support where necessary.
  • Managing incoming and outgoing post and parcels.
  • Ordering of refreshment and sanitary supplies, PPE and business cards.
  • Monitoring and ordering office supplies including stationary and catering, ensuring stationary pods are replenished each day.
  • Replacing printer consumables whilst monitoring stock levels.
  • Coordinating the collection and receipt of keys got client and contractors on-site.
  • Arranging UK and international couriers, cars and taxi bookings.
  • Assisting with corporate hospitality provision as required.
  • Managing maintenance contract of office pool bikes.
  • Management of bookings for pool cars and office bikes.
  • Maintaining staff car registration details and issuing of permits.
  • Reporting maintenance and health and safety issues to the FM team.
  • Sending ‘All-Firm’ information e-mails as required.


About You:


  • Previous experience of working within a similar role.
  • Excellent communication and customer service skills, with a friendly and approachable disposition.
  • Ability to prioritise workload, along with a can-do attitude.
  • Good working knowledge of MS Office including Word, Excel & Outlook.
  • Ability to work as part of a team and willing to support other team members.
  • Ability to work on own initiative and autonomously.
  • Willingness to learn new skills and undertake training as required.
  • IOSH Managing Safely qualification is desirable, however not essential.
