Golden Care is a family run group of nursing homes providing high quality nursing care across England & Wales. The group has been delivering residential and nursing care for over 30 years, with a commitment to providing our residents with the best possible comfort, quality, and stimulation.
We are looking for a full-time Office Administrator to join our team, working 9:00am - 5:00pm, with salary of £20,000. We would consider job share for the right candate whose availability aligns with the needs of the business.
The role will be based on-site in our Taunton home.
**Purpose of Role**:
Provide administrative support under the guidance of the Registered Manager, helping to ensure the administration of the Home runs smoothly and effectively.
This role involves financial processing so previous knowledge and experience of processing invoices, reconciling and account management is essential.
**Core Responsibilities & Duties**:
- Assist with the process of payroll, ensuring colleagues are paid accurately and on time
- Create and maintain colleague files.
- Record and monitor annual leave, staff training and sickness
- Process the pre-admission, admission and discharge of residents - respond to enquiries, create and maintain up to date resident files in our system Coolcare
- Prepare contracts and invoices for new residents, including contract fees and funding
- Process and input purchase invoices using financial software package (Xero)
- Process and reconcile income using financial software package
- Ensure cheques are processed and paid in promptly
- Manage the petty cash account for the Home
- Produce monthly reports at the request of the Registered Manager and Business Support Manager
- Be a friendly and welcoming first point of contact for colleagues, residents and visitors
- Answer the phone and greet visitors in the Home.
- Manage the Home’s mail and attend the Post Office as required
- Develop and maintain good filing systems
- Support meetings, taking minutes and contributing to monthly Manager’s Meetings when required
- Order office supplies and equipment as required
- Maintain efficient use of office equipment e.g. photocopier, printer
- Be fully aware of GDPR regulations and maintain the confidentiality of all records
- Support the Business Support Team in Recruitment efforts, as required
This is a varied and busy role and you must be organised and highly efficient.
Salary £20,000 per annum. Work hours are Monday to Friday 37.5 hours weekly. We would consider job share for the right candate whose availability aligns with the needs of the business. Please let us know your availability when applying, if it differs from the schedule listed above.
