**Job Title**: Administrative Assistant

**Hours of work**: 30 hours Monday to Friday, 8.30am - 3pm.

**Location**: Taunton, Somerset

**Salary**: £22,000 PA

**The role**:Your primary responsibility will be to manage orders for despatch by haulier, including orders for export. You will need to be an excellent administrator with patience and attention to detail.

**Key Responsibilities**:

- Answering incoming telephone calls.
- Trade orders processing.
- Liaising with production and sales about order processing and delivery.
- Scheduling deliveries and collections.
- Generating all relevant paperwork in Sage 200 (e.g. orders, despatch notes and invoices) and via EDI as required.
- Managing delivery failures, breakages and other problems.
- Being responsible for processing all export and duty-suspended documents via HMRC website.
- Being cross-trained across colleagues' work and providing cover for absences.
- Administrating and matching all incoming invoices with orders and delivery notes and passing these over to relevant managers for authorisation.
- Checking suppliers' statements with purchase ledger and if any invoices or credits are missing, obtaining copies.
- Dealing with suppliers' queries, as necessary.

**Experience / Skills / Knowledge**:

- A good understanding of Excel and some experience of invoicing and accounts.
- Administration.
- Highly accurate and efficient working manner.
- Positive and enthusiastic attitude.
