**Job summary**:
This is an exciting opportunity to join the MOD’s Strategic Supplier Management (SSM) team, which manages the relationship with MOD’s Strategic Suppliers, and includes influencing behaviours to improve the quality of the Defence supply chain as part of the government’s wider commitment to growth and enterprise.

The Defence Suppliers Forum (DSF) is continuously evolving to strengthen the MOD’s relationship and senior-level engagement with the Defence industry, with a focus on leveraging tangible benefits and outcomes. The DSF’s Programme Management Office (PMO) sits within the SSM team and has responsibility for ensuring that the DSF is delivering the outcomes it needs to. The PMO also provides EA support to the Head of the SSM team.

This role involves supporting the DSF PMO and its EA responsibilities for the SSM Hd.

This position is advertised at 37 hours per week.

**Job description**:
The post holder will have two areas of focus. The role as part of the Defence Suppliers Forum Programme Management Office, providing communication, administrative and secretariat support to the Defence Supplier Forum, including DSF Main (chaired by Secretary of State for Defence), the Executive group (jointly chaired by senior leaders in industry and MOD) and the Small and Medium Enterprise Forum (chaired by Minister for Defence Procurement), as well as a number of DSF sub groups.

The second area of focus will be as Executive Assistant to the Head of the Strategic Supplier Management team. This will involve managing SSM Hd’s diary to maximise time, advising on engagements and resolving any diary conflicts.

The DSF is a growing team within the wider Strategic Supplier Management team, with an ambitious programme for expansion and improvement. As such, the post holder will have the opportunity to take ownership of projects that deliver real and tangible value.

**Person specification**:
Specific activities will include the following:
For the DSF:

- Management of the DSF portal, ensuring content and membership is coherent and current.
- Contributing to the performance management of the DSF groups through effective management of stakeholder actions
- Communications - Including production of the external DSF bimonthly Newsletter
- Develop and maintain a stakeholder tracker
- DSF Inbox management
- Management of DSF meetings including sending meeting invitations, ensuring rooms are booked and supporting documentation is published on the DSF portal.
- Responsible for raising CP&F requisitions and monitoring financial approvals
- Secretariat duties
- this may involve travel to London.

For the SSM Hd:

- Maintaining and updating SSM Hd’s electronic schedules, arranging meetings with MOD staff, other Government Departments and Industry.
- Co-ordinate and facilitate SSM Leadership meetings
- Greeting and escorting of visitors on arrival where necessary.
- Manage all business travel arrangements including: researching and analysing cost-effective transport and accommodation using Departmental policies and processes to select the best value for money option and advising accordingly; and, processing travel and subsistence claims.
- Manage the running of the outer office by: fielding and dealing with correspondence and telephone calls, monitoring deadlines and prompting staff for response and bringing urgent matters to the attention of SSM-Hd as necessary or delegating them to appropriate members of their organisation.

The post holder will need to be extremely well organised, whilst demonstrating flexibility to support wider work across the team. They will need to be confident in managing upwards and be able to use their own judgement and understanding of senior level priorities to make decisions. They will need excellent IT skills.
