- Mon-Fri 9.00 - 12.30 - 17.5 hours per week (126 hours annual leave)
The SMCA are looking for an individual to join us. This person is an essential part of our team, working together to identify, create and deliver quality projects and activities to the community.
You will most likely be the first contact point for all visitors to the centre, so your enthusiasm, professionalism and welcoming approach is essential.
As a community centre, we have regular contact with people from diverse backgrounds, of diverse ages and abilities. We need people who can respond to individuals’ needs. You will therefore need to be adaptable and solution-focused.
We are looking for people who are flexible, able to multi-task, pay close attention to accuracy and detail and who are not afraid to roll up their sleeves to get things done.
It is likely that our projects/activities will grow, so we are seeking individuals who are able to adjust to these increased hours, helping to keep our core team consistent and who view change as a natural, positive and continuing process.
You will be a keyholder responsible for opening up on time to admit users and for securing the building at the end of your shifts, following all security procedures.
Punctuality and reliability are essential requirements of this role.
You will be responsible for keeping the Community Centre environment, both internal and external, at a high standard of cleanliness, in good order and hazard free, ready for use by colleagues and Community Centre users.
As a Support Officer you will be in a position of responsibility and expected to demonstrate high standards of honesty and trustworthiness at all times.
**Role**
**General Administration and Supporting SMCA projects.**
- You will be Microsoft proficient using your full range of IT skills, to support the smooth and efficient operation of the community centre office. This will include for example:
- creating and managing spreadsheets using Excel;
- developing/using databases keeping them up to date and stored in accordance with data protection requirements;
- overseeing and updating the centre’s shared Outlook calendar;
- maintaining electronic filing and ensuring that records are up to date;
- tracking expenditure against project bids;
- using your numeracy, research and data analysis skills to help collate information and user statistics which can be used for evaluating and analysing our projects and activities, informing business decisions and producing reports of a high standard.
- Working closely with the Projects Officer, you will ensure that the SMCA projects have the right resources and equipment needed to deliver successful sessions. This may involve dealing with suppliers, managing equipment stocks, and completing regular stocktakes of supplies as required.
- You will be involved in the delivery of some of the SMCA activities and events, so good organisational skills, and being able to plan and engage with users are essential.
- You will be the key contact point for SMCA volunteers expected to lead by example. Your ability to develop strong, successful, and collaborative working relationships will be critical in ensuring that they are comfortable and confident in their roles and feel part of the SMCA team.
**Working with Community Centre Users**
- You will respond to the requirements of group leaders and users to support their activities or events, ensure users adhere to rules of conduct, as set out in their Hire Contract/Agreement and receive monies on behalf of the Projects Officer from group leaders and users.
- You will deal with people calmly while being clear about the rules and procedures that must be observed; you will also act as the nominated Health and Safety lead providing information to users about this.
**Managing the Community Centre Environment**
- You will champion a clean, hygienic and tidy community centre, keeping our space feeling welcoming, fresh and fit for purpose and ensuring that it is safe for colleagues and community centre users.
- You will conduct daily building checks to ensure that rooms are clean and set up for the planned activities.
- As a keyholder you will be responsible for checking doors, windows, power sources, taps etc., setting the alarm and locking the building when necessary.
- You will monitor the condition of equipment and conduct health and safety risk assessments of the premises and its surrounding pathways and garden, producing written reports for the Projects Officer as required and updating them on any outstanding work and issues.
- You will monitor and carry out regular fire alarm testing and logging as requested by the Projects Officer and carry out emergency procedures in the event of a fire, flood, break-in, accident, or major damage.
