Job Role: Production Assistant (Administration, Excel, Data Flow, Purchase Orders etc)

Location: Milton Keynes

Hours: Mon – Fri (09:00-17:30)

Based in Milton Keynes GPS are recruiting for a Data Flow/ Administration Assistant to take responsibility for managing the data flow related to and correspondence between the company and its vendors and interdepartmental communication in a fast paced, high growth environment.

Key Responsibilities:

* Enter purchase orders and e-mail POs and UPCs to appropriate vendor. Ensure prices entered and ex-factory dates entered align with responses to Order Inquiries without exception.

* As required, split purchase order quantities between ship modes.

* Update and review all data as it becomes available, especially vendor delivery dates and shipment status from vendor WIPs.

* Enter shipment details and Communicate discrepancies with Production Manager and distributors.

* Assist Production Manager with the preparation of Order Inquiries and PO entry.

* Together with the Production Manager, follow up with vendors regarding PO tracking. This includes identifying potential delivery risks; monitoring production status; and tracking shipment status.

* Work with Distributors to confirm ship modes in a timely fashion along with creating any documents which will be needed i.e. Commercial invoices, packing lists

* Assist and maintain new product and style information once available (UPC, HS Codes, Duty rates etc.)

* Assist with special projects when needed (ADLC, The Open, R&A) and also assist with custom style developments for UK and international Markets

* Point person for any Factory queries relating to UK/EU or Distributor PO’s

Desired Skills/Experience:

* Previous experience in a similar role (procurement, purchasing, buying etc)

* Experience of dealing with volume Emails on a daily basis

* Excellent time management skills

* Excellent administration skills

* Detail oriented; strong organisational and time management skills

* Strong computer (especially Microsoft Excel), analytical, and communication skills

* Ability to adapt to highly entrepreneurial environment and respond to changes quickly

* Strong problem-solving and critical thinking skills with focus on driving positive results

Salary up to 30K + Bonus
