Job Overview:

 

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at One Stop Waste Solutions Ltd in Aberdeen. This full-time, on-site role will be responsible for providing administrative support, customer care, and hazardous waste management services while ensuring compliance with waste management regulations.

 

Responsibilities:

  1. Provide administrative support to the team, including data input, customer inquiries, and correspondence.
  2. Liaise with customers and suppliers to maintain good relationships and resolve any issues that may arise.
  3. Prepare and track hazardous waste paperwork, ensuring compliance with SEPA regulations.
  4. Coordinate jobs from start to completion, working closely with suppliers and internal teams.
  5. Maintain accurate records and spreadsheets, including enquiry/job sheets and contract documents.
  6. Assist in the preparation of quotations and job instructions, ensuring timely and efficient delivery.
  7. Develop and maintain Waste Contracts, ensuring all necessary documentation is up-to-date.
  8. Liaise with third-party service and disposal providers to ensure seamless operations.
  9. Provide exceptional customer care, responding promptly to queries and resolving issues efficiently.
  10. Compile monthly customer reports, highlighting key metrics and areas for improvement.
  11. Support the development and implementation of IMS policies and procedures, ensuring QHSE compliance.

 

Requirements:

  1. Demonstrated experience in administrative roles, preferably in waste management or a related field.
  2. Excellent communication and customer service skills, with the ability to build strong relationships with clients and stakeholders.
  3. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  4. Proficiency in Microsoft Office suite, with experience in data input and record-keeping.
  5. Awareness of OSW IMS Policy and Procedures (QHSE) and waste management legislation.
  6. Ability to work independently and collaboratively as part of a team.
