Key Responsibilities:
  • Client Support:
  • Provide high-quality client care by handling initial client enquiries, arranging appointments, and ensuring effective communication with clients throughout their matter.
  • Assist in preparing and submitting documents related to wills, probate, trusts, and powers of attorney.
  • Manage client files, ensuring all information is accurate and up-to-date.
Administrative Tasks:
  • Draft legal documents and correspondence under solicitor supervision, including wills, letters, and applications for probate.
  • Organize diaries, scheduling meetings, and keeping detailed records of deadlines.
  • Support estate administration, including gathering and distributing assets.
  • Prepare trust documentation and tax returns as necessary.
  • Work through dictation provided by fee earners.
Document Control:
  • Maintain electronic and paper-based filing systems, adhering to firm policies and legal regulations.
  • Monitor progress on clients' matters, ensuring deadlines are met and processes followed accurately.
Support Functions:
  • Conduct research to support solicitors in handling complex private client cases.
  • Prepare draft letters, forms, and other documents required in probate, wills, and estate administration cases.
Collaboration:
  • Work closely with solicitors and other legal assistants to ensure seamless service delivery.
  • Provide support during client meetings, taking notes and preparing relevant materials for discussions.
Requirements:

Essential qualifications and experience include:

  • Private client law experience, including wills, probate, trusts, and estate administration.
  • Legal qualification or significant experience in a legal support role.
  • Strong knowledge of private client processes and terminology.

Desirable skills and attributes include:

  • Excellent organizational skills with attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and legal case management software.
