Key Responsibilities:

  • Proactively manage complex diaries, ensuring efficient scheduling of meetings, travel arrangements, and appointments.
  • Serve as the first point of contact for executives, handling calls, correspondence, and inquiries with professionalism.
  • Prepare reports, presentations, and documentation to a high standard, often under tight deadlines.
  • Organize and coordinate meetings, including taking minutes and following up on action points.
  • Manage and prioritize confidential information with utmost discretion.
  • Liaise with internal and external stakeholders, building strong professional relationships.
  • Perform ad hoc administrative tasks to support the smooth operation of the executive office.

What We're Looking For:

  • Proven experience as an Executive Support Specialist, ideally within the financial services or professional services sector.
  • Exceptional organizational skills and the ability to manage multiple tasks and priorities effectively.
  • Strong communication skills, both written and verbal, with a polished and professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A proactive and detail-oriented approach, with the ability to work independently and take initiative.
  • High level of discretion and confidentiality when handling sensitive information.
