About the Role

We are seeking an Administrative Support Assistant Level 2 to join our Accommodation & Administration team within the Buildings & Estates Management Department. This role is crucial for maintaining security protocols and managing personnel access effectively.

Key Responsibilities
  • Security Pass Management:
    • Issue security passes to eligible staff, including checking applications and entering data into systems.
    • Verify IDs, photograph applicants, and issue passes.
    • Complete associated administrative tasks and filing.
    • Manage the leaver process, including the collection of passes and updating records.
    • Oversee the renewal of passes before expiration, including identifying eligible staff and confirming renewal needs with management.
    • Provide guidance on pass-related queries from staff.
  • Security Checks and Clearances:
    • Administer Basic Personnel Security Standard processes.
    • Collaborate with the Security team to identify staff for security checks.
    • Enter applicant details into the system operated by an outsourced provider.
    • Notify candidates of expected communications from the provider and monitor application progress.
    • Follow up with candidates to ensure timely submission of required documents.
    • Review final reports, request additional information if necessary, and communicate with authorisers.
    • Support National Security Vetting (NSV) Clearances and assist with general security administration.
  • Access Control System:
    • Assist with the Access Control System to manage and monitor entry and exit.
  • General Support:
    • Provide support to other components of the Accommodation & Administration team as needed, ensuring that these tasks do not interfere with primary responsibilities.
Qualifications
  • Proven administrative experience with a focus on security and confidentiality.
  • Ability to achieve SC vetting clearance.
  • Excellent organizational skills and ability to manage multiple tasks concurrently.
  • Proactive and discrete, with a keen eye for detail and commitment to safeguarding sensitive information.
