Diary Coordinator

The Diary Coordinator plays a pivotal role in ensuring the smooth operation of the service department by effectively managing the diary for all call outs, remedials, and maintenance visits. This involves prioritizing work, ensuring logistical and financial accuracy, and maintaining open communication with the team and stakeholders.

Key Responsibilities:

  • Reporting to the Service Team Manager and Management Team, the Diary Coordinator will be responsible for scheduling new and renewed maintenance contracts, ensuring the diary is up-to-date, and handling any cancellations or changes.
  • Liaising with engineers to optimize available resource, utilizing their skill sets for relevant jobs, and checking Service Department schedules for the day ahead.
  • Working closely with the Engineering Management Team, Account Managers, and Service Account Coordinators to deliver works within KPI deadlines for service visits and remedial works.
  • Ensuring effective communication throughout the business, maximizing cost-saving use of labor, and making efficiencies to ensure revenues and margins are maximized.
  • Undertaking general administration duties, including data entry, responding to emails and telephone calls, and providing support to the Service Support Team.

Competencies and Skills:

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to work effectively with engineers, managers, and other stakeholders.
  • Proficiency in Microsoft Office programs, with the ability to learn and adapt to new systems and processes.
  • Able to understand matters of a financial nature, including budgeting, and demonstrate a commitment to cost-saving initiatives.
