Job Description

We are seeking a highly skilled and experienced House Manager to join our team at Ad Astra Consultants.

Main Purpose of Job

  • Efficient management of the estates, providing full secretarial and administrative support to the Principal.
  • Manage the house staff and supervise the cleanliness and upkeep of all properties in the Estate.
  • Coordinate and provide support to the family for all events, small and large scale, as and when required.
  • Maintain a Professional environment in the estate.

Main Responsibilities / Job Summary

Primary and Secondary Properties in London

  • Ensuring that the property operations run smoothly, the family has all that is needed, guests are received and taken care of.
  • Daily checks of the state of the property, booking painting, cleaning, organising repairs and ordering replacements of appliances, tools, etc as and when required and on time.
  • Daily housekeeping rounds and cleaning projects.
  • Staff management - making sure the house staff knows what their duties are, that they fulfil them at their best capacity, training and ordering cleaning supplies and tools, assisting with visas, GP appointments, hospital visits, ordering uniforms, organising transportation, any managing ad hoc requests for the staff's optimum performance.
  • Collaborating and communicating with the staff (Security, Drivers and Chefs) any information which is needed for the house operations including annual leave management in consultation with the EA.
  • Dealing with and managing external contractors such as florist, painters, handymen, drivers, catering, etc.
  • Assisting the EA with business and personal aspects of the family.
  • Organising and executing large events (including acting as a Host) – getting quotes, sourcing décor, catering items, etc.
  • Planning and execution of important events such as dinners, house parties and annual festivals.
  • Sorting correspondence and distributing accordingly.
  • Managing the pets insurance, vet appointments and food for the pets.
  • Procurements of Food and Beverages and organizing shipping worldwide as needed.
  • Driving house members to work if needed.

PA Support

  • Management of House Owners' diary and acting as gatekeeper.
  • Organising shipping of goods worldwide as required.
  • Procurement of household goods (for all the properties) & gifts in conjunction with Family's instructions.
  • Booking personal appointments (medical, lifestyle, work related) for all family members and accompany where requested.
  • Other responsibilities as assigned from time to time.

Book Keeping:

  • Handling of payments and expense reconciliation in approval with the EA.
  • Credit cards and Bank Statement reconciliation.
  • Invoice and Petty Cash handling as required.

Skills & Knowledge Requirements

Knowledge (Technical/ Functional)

  • Basic IT proficiency including MS Excel, Word processing and diary management.
  • Foreign Language skills (Desirable not essential).
  • A full GB Driving Licence.

Qualifications

  • A Level and above, including in English and Maths.
  • Degree in business administration (desirable).

Experience

  • 5-10 years with UHNI's family.
