The Role

The House Coordinator is the primary ambassador for Mortimer House, ensuring a welcoming and memorable experience for all members, guests, and client partnerships. They guarantee a smooth reception experience and clear communication throughout the House.

Key Responsibilities

  • Deliver a hospitable service, welcoming members and guests by name, checking them in, and meeting their needs as a priority.
  • Be knowledgeable about member services and activities across Mortimer House, serving as the ambassador of knowledge.
  • Regularly communicate with the Reception Manager about reception updates, member queries, feedback, and housekeeping.
  • Complete the new member onboarding process for all membership tiers as communicated by the membership team.
  • Communicate relevant event information to the Mortimer House team to deliver exceptional member experiences.
  • Manage the distribution and availability of printed materials around the House, ensuring knowledge of all aspects of House programs.
  • Ensure daily, weekly, and monthly checklists are completed and signed off.
  • Maintain a clutter-free and engaging reception desk space.
  • Manage the atmosphere, music, scent, and heating for reception and workspaces.
  • Communicate changes or requests from members to Office Floor Coordinators.
  • Ensure seamless member systems, liaising with IT providers.
  • Provide members with access to information about services, promotions, and events across both Maslow's houses.
  • Manage refreshments, technology, atmosphere, and coordination for internal and external meeting room bookings.
  • Monitor reception inbox, landline, and mobile communication in a timely and professional manner, aligning with the brand tone of voice.
  • Manage restaurant bookings and enquiries/requests where needed.
  • Distribute member post correctly and in a timely manner.
  • Be the point of contact for external contractors, logging arrival and departure times.
  • Distribute Function sheets from the events team to specific departments.
  • Perform any other duties required by the Reception Manager and General Manager.
  • Contribute to a positive working environment.
  • Build a strong relationship with F&B Managers and HODs for administration support.
