We are seeking an experienced Administrator to join our team in Birmingham, on a fixed-term contract. As the Casework Administrator, you will contribute to the crucial work of our casework and investigations secretariat function.
Key Responsibilities- Support the IMG CMG Coordinator in ensuring that all secretariat functions are delivered, including effective planning, resourcing, monitoring, reporting, and risk management.
- Attend meetings and provide administrative support, including drafting agendas and taking minutes.
- Liaise with internal colleagues at all levels of the organisation.
- Assist in the delivery of quality assurance, including monitoring the delivery of case files and actions arising from meetings.
- Work to tight deadlines and targets while managing a demanding administrative workload.
- Arrange a high volume of meetings at short notice.
- Update various action/tracker logs and tasks, which are spreadsheet-based, and monitor numerous Outlook inboxes.
- Proofread and prepare letters to support the IMG CMG Coordinator.
- Provide support to Directors in Operations when required.
- Assist with the monitoring and administration of illegal markets and criminal work.
- Assist with ad hoc projects.
- Experience of administrative work.
- Experience of minute or note taking.
- Ability to learn quickly and think laterally to ensure smooth workflow and follow up with the IMG and CMG Coordinator, Directors, or colleagues.
- Excellent planning and organisational skills with the ability to recognise and manage priorities.
- Ability to monitor workflows and allocation of work based on existing caseload.
- Ability to work with individuals at all levels of the Commission and strengthen existing relationships with external stakeholders.
- Previous experience working to tight deadlines and targets and managing a demanding administrative workload.
- Accurate typing ability.
- Fully conversant with Microsoft Word, Excel, PowerPoint, the internet, and Outlook to an intermediate level.
- AUDIO typing experience.
- Ability to work and communicate with the team and manager in a confident manner.
