Senior Proposals Manager - Europe


Penspen is seeking a highly skilled Senior Proposals Manager to join our team in Europe.


As a key member of our Bid Team, you will be responsible for ensuring compliance with the proposal life cycle for assigned bids and the coordination of compelling, winning, and value-driven solutions.


You will play a central part within the overall Bid Team, collaborating closely with various stakeholders at all levels of the organisation across technical delivery, business development, commercial, legal, and finance, etc.


Key responsibilities include:



  • Arrange and attend internal bid/no bid, kick-off, review, clarification, and handover meetings with all relevant stakeholders to ensure client deadlines are met in line with Penspen's bid management process.
  • Ensure win themes and strategies are embedded within proposals.
  • Facilitate and prepare content for procedural review meetings on bid strategy, cost, risk, and lessons learned.
  • Coordinate and administrate tender pricing with support from the bid manager and manager of proposals, liaise with subcontractors as appropriate, and ensure all contractual requirements are adhered to.
  • Coordinate and manage our response to customer requests for clarifications/amendments promptly and professionally.
  • Manage CRM for own opportunities, maintain excellent document filing and administration support for tender materials.
  • Manage the bid database and development of knowledge stores including standard company information, experience lists, executive summaries, and all proposals-related information.
  • Assist with BD activities, such as preparing presentations and attending marketing events.
  • Maintain compliance with departmental and company procedures.
  • Other duties as directed by line manager.

Requirements include:



  • Minimum of three years' experience of preparing proposals.
  • Proven experience of bid coordination and management for a range of project values.
  • Excellent organisational, fluent communicator with strong bid writing skills.
  • Proactive, resilient, and self-starter mentality with a strong desire to win.
  • Comfortable working under pressure to tight deadlines.
  • Strong relationship and networking skills.
  • Reliable, responsible, and safety-conscious.
  • Excellent use of PowerPoint, Word, Excel, and PDF to prepare professional documents.
  • Knowledge of the energy industry is desirable.
  • Bachelor's degree in a relevant field is desirable.
