Senior Bid or Proposals Manager

At Penspen, we are seeking a highly skilled Senior Bid or Proposals Manager to join our team. As a key member of our Bid Team, you will be responsible for ensuring compliance with the proposal life cycle for assigned bids and coordinating compelling, winning, and value-driven solutions.

Main Responsibilities:

  • Arrange and attend internal bid/no bid, kick-off, review, clarification, and handover meetings with all relevant stakeholders to ensure client deadlines are met in line with Penspen's bid management process.
  • Ensure win themes and strategies are embedded within proposals.
  • Facilitate and prepare content for procedural review meetings on bid strategy, cost, risk, and lessons learned.
  • Coordinate and administrate tender pricing with support from the bid manager and manager of proposals, liaise with subcontractors as appropriate, and ensure all contractual requirements are adhered to.
  • Coordinate and manage our response to customer requests for clarifications/amendments promptly and professionally.
  • Manage CRM for own opportunities, maintain excellent document filing and administration support for tender materials.
  • Manage the bid database and development of knowledge stores, including standard company information, experience lists, executive summaries, and all proposals-related information.
  • Assist with BD activities, such as preparing presentations and attending marketing events.
  • Maintain compliance with departmental and company procedures.
  • Other duties as directed by line manager.

Requirements:

  • Minimum of three years' experience of preparing proposals.
  • Proven experience of bid coordination and management for a range of project values.
  • Excellent organisational, fluent communicator with strong bid writing skills.
  • Proactive, resilient, and self-starter mentality with a strong desire to win.
  • Comfortable working under pressure to tight deadlines.
  • Strong relationship and networking skills.
  • Reliable, responsible, and safety-conscious.
  • Excellent use of PowerPoint, Word, Excel, and PDF to prepare professional documents.
  • Knowledge of the energy industry is desirable.
  • Bachelor's degree in a relevant field is desirable.
