Job Summary

We are seeking a highly organized and detail-oriented Property Management Coordinator to join our team at Bidwells. As a key member of our Residential Lettings department, you will provide administrative support to our Property Managers, ensuring the smooth operation of our property portfolios.

Key Responsibilities
  • Assist Property Managers in managing their property portfolios, providing efficient and accurate administrative support.
  • Handle incoming property management phone calls, responding to queries and directing calls as necessary.
  • Greet visitors to the office, directing their enquiries and providing a positive first impression.
  • Manage email correspondence and incoming post, including confidential materials, in a professional and timely manner.
  • Perform various administrative tasks, including photocopying, scanning, and file administration.
  • Liaise with utility companies and councils for tenancy changeovers.
  • Send routine instructions to contractors, as directed by Property Managers.
  • Run regular reports for ID checks and conduct these where instructed.
  • Prepare and issue documents through our CRM system, using mail merge templates.
  • Chase outstanding works with contractors and follow up with various parties for invoices and statements.
  • Arrange additional quotations for large maintenance or refurbishment of properties.
  • Register appliance warranties and book call outs under warranty.
  • Update and maintain key control systems and sign out keys to third parties.
  • Attend team meetings and take minutes.
Requirements
  • Previous experience in an administrative role, preferably in a property-related field.
  • Proficiency in Microsoft Office and ability to adapt to new tools and software.
  • Previous experience with property software, such as Reapit, is desirable.
  • Excellent communication and organizational skills, with the ability to multitask.
  • A positive attitude and courteous demeanor, with a strong focus on client interaction.
  • A collaborative spirit and ability to work well individually and as part of a team.
