Facilities Administrator

At BAM Construct & Ventures UK Ltd, we are seeking a skilled Facilities Administrator to provide administrative support to the Facilities Manager. The successful candidate will be responsible for maintaining the facilities team's administrative tasks, ensuring the smooth operation of the facilities department.
Key Responsibilities
• File management, both electronic and hard copy
Maintain accurate and up-to-date files, ensuring easy access to information
• Maintaining accident monitoring and logging.
Record and track incidents, ensuring compliance with company policies
• Typing and photocopying.
Provide administrative support, including typing documents and photocopying materials
• Compliance monitoring
Ensure compliance with company policies and procedures, including health and safety regulations
• Taking telephone calls for the Facilities Management Team
Provide a high level of customer service, answering queries and resolving issues
• Management of PPM system including record retention and filing.
Maintain accurate records, ensuring compliance with company policies
• Processing of purchase orders and maintaining a database of all FM correspondence.
Administer purchase orders, ensuring timely delivery of goods and services
• Data processing, meter readings community lets, timesheets, RDS sheets.
Process and manage data, ensuring accuracy and compliance with company policies
• Dealing with sub-contractors.
Communicate with sub-contractors, ensuring timely completion of tasks
• Dealing with correspondence and responding to general enquiries.
Provide a high level of customer service, responding to queries and resolving issues
• Managing movements, diaries and travel.
Coordinate travel arrangements, ensuring timely and efficient completion of tasks
• Organising meeting rooms and catering.
Arrange meeting rooms and catering, ensuring a smooth and efficient service
• Chasing internal reports and requests for info.
Follow up on reports and requests, ensuring timely completion
• Attending meetings, preparing minutes and chasing up action points assigned to facilities department.

• Collation of contract performance and financial monthly reports.
Compile and review reports, ensuring accuracy and compliance with company policies
• Work with other members of the FM team in the best interests of the company.
