Facilities Coordinator

The successful candidate will provide administrative support to the Facilities Manager, working 37.5 hours per week. Key responsibilities include file management, electronic and hard copy, maintaining accident monitoring and logging, typing and photocopying, compliance monitoring, and taking telephone calls for the Facilities Management Team.
Additional Duties
- Management of PPM system including record retention and filing.
- Processing of purchase orders and maintaining a database of all FM correspondence.
- Data processing, meter readings community lets, timesheets, RDS sheets.
- Dealing with sub-contractors.
- Dealing with correspondence and responding to general enquiries.
- Managing movements, diaries and travel.
- Organising meeting rooms and catering.
- Chasing internal reports and requests for info.
- Attending meetings, preparing minutes and chasing up action points assigned to facilities department.
- Collation of contract performance and financial monthly reports.
Requirements
- Skilled with Word processing and file management.
- Familiar with Excel spreadsheets.
- Good IT skills.
- Good team worker within a small office environment.
- Good communicator – written and verbal.
- Good organiser (of self and others).
- Good telephone manner.
- Flexible approach to work and time commitment.
