Reception Supervisor

We are seeking a highly organized and communicative individual to join our Reception Team within the Facilities directorate. As a Reception Supervisor, you will oversee and supervise our receptionists across our STH sites, providing support to our reception areas and functions. You will have strong organizational and communication skills, with the ability to work in a busy and challenging environment.
Main Responsibilities- Maintain and produce accurate information on our reception and governance information systems.
- Undertake supervisory management duties, including deployment of tasks, first-line management of staff, and audits of areas.
- Conduct environment audits across the Trust sites, addressing any issues that arise.
- Use highly developed communication skills, demonstrate an understanding of confidentiality, and the ability to deal with conflict.
- Support and complete the accommodation allocation process for medical and non-medical staff.
- Complete supervisory management duties across all functional areas of reception desks, including staff appraisals, approving annual and special leave requests, welfare support, return to work interviews following staff absences, and mandatory/job-specific training.

Requirements- GCSE standard (or equivalent) including English Language at Grade C or above.
- NVQ Level 3 Administration or Customer Care/IT or equivalent qualification or demonstrable experience.
- ECDL or equivalent.
- Experience of working in a customer-facing administrative role.
- Experience of working with the public.
- Experience of Trust systems, ESR, Datix, Health Roster.
- Excellent computer skills, including standard office packages and email.
- Experience of working effectively with colleagues from a range of disciplines and levels of seniority.
- Experience of exercising initiative and demonstrating innovative approaches within overall delegated responsibility and parameters.
- Determination and resilience in meeting objectives and deadlines.
- Experience of maintaining a fast pace of work.
- Excellent telephone manner.
- Previous clerical experience in an NHS setting.
- Experience of working and building effective working relationships with staff at all grades.
- Understanding of procedures and policies for effective administrative processes.
- Supporting staff training and development.
- A willingness to undertake training as required to deliver the duties of the post.
