Job Description

Job Title: Customer Service Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Customer Service Administrator to join our team at Kuehne+Nagel. As a key member of our customer service team, you will be responsible for providing exceptional customer service, handling inquiries, and maintaining accurate records.

Key Responsibilities:

  • Coordinate all aspects of the purchase ledger, including purchase requisition, purchase order, and invoice receipt.
  • Ensure all invoices are checked for compliance with expected costs and seek approval from the appropriate manager.
  • Maintain local files to track capital and revenue spend.
  • Monitor site consumables and purchase these items to ensure adequate supplies.
  • Work with procurement to ensure Chapeltown requirements are met.
  • Arrange travel and accommodation for Chapeltown meetings.
  • Provide Chapeltown standard site induction to contractors and visitors.
  • Ensure all MHE are serviced and repaired according to HSE guidelines.
  • Keep customer service KPIs and trackers up to date to support the Distribution function.
  • Ensure the Global Facilities Carbon Calculator is continually updated.
  • Respond to Distribution-related customer claims within agreed timescales.
  • Act as the first point of contact for all customer service-related queries.
  • Coordinate the returns of pharmaceutical and veterinary products.

Requirements:

  • Experience in pharma and healthcare supply chain.
  • Experience in Contract Logistics warehouse administration.
  • Excellent communication and organizational skills.
  • Good knowledge of financial systems and month/year-end process.
  • Self-starter capable of working with minimum supervision.
  • Flexible and able to work accurately under pressure.
  • Team player with the self-drive to be proactive and add value.
  • Proficient in MS Excel and familiar with working on Stock Management System.
  • Knowledge of Good Distribution Practice.
  • Excellent attention to detail and record-keeping skills.
