Resident Service Ambassador

Job Overview: We are seeking a highly motivated Resident Service Assistant to join our team in Sheffield. This is an excellent opportunity for someone with lettings experience to take on a new challenge and work with a build-to-rent company.
Key Responsibilities:
- Ensure the front desk is manned at all times, maintaining a high standard of presentation.
- Manage inbound calls and monitor the resident services email inbox, taking prompt action on requests and enquiries as required.
- Foster strong relationships with the local community and residents to enhance exposure and success of the scheme.
- Receive, log, and distribute post and parcels to residents via the correct process.
- Serve as the first point of contact for residents regarding maintenance issues, logging each case on the system and ensuring timely progression.
- Provide key management services, including organising keys for new tenancies, receipting keys for old tenancies, and tracking existing keys logged out to residents and contractors.
- Coordinate contractor appointments and log issues to ensure required service levels are met.
- Follow up on lettings enquiries and conduct apartment viewings.
- Meet and greet new tenants, providing welcome packs and tenancy information as needed.
- Conduct regular building walks to identify Health and Safety issues or security concerns, reporting them to the Line Manager and taking appropriate action.
- Assist in administration for the wider property and lettings teams.
- Update utility suppliers with new resident details, requesting and processing bills for void periods.
- Maintain up-to-date resident communication through various channels, including social media.
- Agree on tenant deposit returns at the end of tenancy.
- Chase arrears as instructed by Finance/GM/RSM.
- Conduct inventories, check-ins, property inspections, and check-outs as required.
- Support resident event planning, management, and execution.
- Maintain a logbook of current and past contractors and onsite visitors.
- Assist in maintaining documentation on the Savills Compliance systems.
- In addition to these tasks, the job holder may be required to carry out other duties as reasonably assigned.
Required Skills and Qualifications:
- Strong interpersonal skills.
- Proactive and dynamic approach, taking ownership of core duties.
- Accuracy and attention to detail.
- Excellent communication skills, demonstrating sensitivity to and understanding of residents' needs.
- Ability to handle multiple tasks.
- Competence in using Microsoft Word and Outlook.
- Flexibility and cooperativeness, working as a member of a team.
- Understanding of the importance of achieving deadlines and ensuring quality output.
- Use of initiative and responsibility for providing solutions.
- Ensuring confidentiality and security of all business, client, and customer documentation/information.
- Well-groomed and smart appearance.
- Dynamic approach, problem-solving, well-organised, and ability to work well under pressure.
- SIA Security Guarding licence is essential.
