Administrative Support Specialist

Job Opportunity:
1st Choice is seeking a highly organized and detail-oriented individual to fill the role of Office Assistant for our client in Norfolk, Virginia. The successful candidate will provide administrative support for the Center for Orientation, Retention, and Exploration, ensuring seamless day-to-day operations.
Key Responsibilities:
- Manage schedules, organize documents, and maintain office files and inventory.
- Provide exceptional customer service via phone and email to students, staff, faculty, and campus visitors.
- Effectively troubleshoot orientation registration and change of major processes.
- Monitor and maintain office printers, furniture, and equipment.
- Utilize critical thinking to problem-solve independently and provide accurate information to students and the general public.
- Check-in students for academic advising and success coaching appointments and schedule/reschedule appointments as needed.
- Assist the Office Manager and serve as the first point-of-contact to students, faculty, staff, and the general public.
- Provide information on University and Center building locations, activities, programs, and policies.
- Assist with the supervision of student workers and maintain schedules/bookings for orientation registrations, conference rooms, and professional staff.
- Account for and distribute incoming and outgoing mail.
Requirements:
- High School Diploma Required.
- Experience in office management or administrative support role.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, with the ability to interact effectively with individuals at all levels.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Working Hours: Monday to Friday, 8:00 AM to 5:00 PM
