Office Assistant Opportunity at 1st Choice
1st Choice is currently seeking an Office Assistant to provide administrative support for the Center for Orientation, Retention, and Exploration. In this role, you will be responsible for managing schedules, organizing documents, and providing exceptional customer service via phone and email to orientation participants, staff, faculty, and campus visitors.
- Develop and maintain knowledge of New to Blue, Major Exploration and Exploratory Advising, Success Coaching, and Success Teams.
- Provide professional and positive support to students, faculty, and staff through effective communication and problem-solving skills.
- Manage and monitor office printers, furniture, and other equipment to ensure seamless operations.
- Utilize critical thinking to independently troubleshoot and resolve issues related to orientation registration and change of major processes.
- Answer incoming calls, route them to appropriate offices, and provide accurate information to students and the general public.
- Check-in students for academic advising and success coaching appointments and schedule/reschedule appointments as needed.
- Provide assistance to the Office Manager and serve as the first point-of-contact to students, faculty, staff, and the general public, as well as receptionist for the Center.
- Provide information to students and the general public on University and Center building locations, activities, programs, and policies.
- Maintain office files and inventory for departmental records management and assist with the supervision of student workers.
- Maintain schedules/bookings for orientation registrations, conference rooms, and professional staff, and account for and distribute incoming and outgoing mail.
Requirements
- High School Diploma Required
- Experience in office management or administrative support role
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, with the ability to interact effectively with individuals at all levels.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
