Job Summary:

Actemium Mechanical is seeking a highly organized and detail-oriented Business Unit Administrator to join our rapidly growing Mechanical Engineering team. As a Business Unit Administrator, you will be responsible for the day-to-day running of the administration functions within the Business Unit, providing support to the Business Unit General Manager and the team to ensure the effective running of the business unit.

Key Responsibilities:

  • Coordinate and manage the administration function within the Business Unit, ensuring a high level of service to employees, customers, and suppliers.
  • Provide administrative support to the Business Unit General Manager and the team, including coordination of meetings, travel arrangements, and other administrative tasks.
  • Ensure compliance with company policies, procedures, and internal control requirements, including Business Unit reporting obligations.
  • Liaise with the Business Unit Finance Team to ensure accurate and timely financial reporting.
  • Perform administrative and office duties to aid the smooth running of the Business Unit, including maintenance of records, filing, and data entry.
  • Proactively resolve problems and issues that may arise within the Business Unit.
  • Support the Business Unit Finance Team with tasks such as processing purchase orders, GRNs, and invoices, as well as maintaining accurate records and filing systems.
  • Assist with new starter paperwork and maintenance of HR Records, including tracking of annual leave and sickness within the Business Unit.
  • Provide HR support, including record updating and assisting with new starter paperwork.
  • Maintain and retrieve all company records, including training, holiday, insurance, plant, and equipment records, in appropriate filing systems.
  • Control of Office Supplies & Ordering, Debtors support, and Asset register control.

Requirements:

  • Strong administrative background with excellent communication skills, both written and oral.
  • Ability to work in a fast-paced environment, with a focus on quality and accuracy.
  • Strong IT skills, particularly in Microsoft Office (Excel, Outlook, and Word).
  • Ability to work on own initiative, but also as part of a team.
  • Desirable skills include experience with using SAP systems and previous experience working in a project-based environment.
