About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide expert administrative and secretarial support to our Director and executive team. The successful candidate will be responsible for managing the Director's inbox and diary, as well as providing administrative support to various committees, meetings, and working groups.

Key Responsibilities
  • Provide administrative support to the Director and executive team, including managing their inbox and diary
  • Set agendas, arrange meetings, take minutes, and monitor actions and follow up on outcomes
  • Manage the IT Services budget, including monitoring expenditure against budget, identifying inaccuracies in budgetary coding, and processing amendments to ensure accuracy of subsequent financial reporting
  • Develop spreadsheets and databases, and perform monthly reconciliation of financial management information
  • Process purchase orders, internal and external invoices, and various other recharges relating to income and expenditure
  • Maintain and administer all paperwork and records relating to staffing within the service, including personal information, annual leave, sick absence, time-off-in-lieu, flexi time, training records, health and safety, and recruitment procedures
Requirements
  • Experience of working in an administrative or support post and significant experience working effectively for one or more senior manager(s) within a busy team
  • Proficiency in Microsoft Office and excellent communication skills
  • Flexible and problem-solving approach to work, with excellent organisational and prioritisation skills to manage your own workload and the Directors
  • Great attention to detail and ability to build positive relationships within the team and within other departments
Qualifications
  • 5 GCSEs or equivalent
  • Desirable: A professional qualification in a related discipline
