Main Duties of the Job

An exciting opportunity exists to join The Chiltern Adult Mental Health Team as a Receptionist.

We are currently looking to recruit an experienced Receptionist: a well-motivated, conscientious, and friendly person who is willing to learn and play a key role in improving the lives of service users we work with.

You will have contact with service users, relatives, other members of the public, and professionals from partner organisations.

You will have an important role in helping the service to run efficiently in a busy and sometimes demanding environment.

The receptionist will deal efficiently and sympathetically with patients, face-to-face and over the phone, and be computer literate.

Experience in word processing, spreadsheets, and e-mails is necessary.

Previous experience in a healthcare environment would be advantageous, but not essential as full training will be given.

You will need to have a positive, flexible approach to working.

Job Responsibilities

The following will form part of your responsibilities:

  • Following a period of training, ensure you are familiar with all reception areas across the service and relevant procedures.
  • Deal with all enquiries in a professional and empathetic manner. These may be via telephone, face-to-face, or written contact.
  • As the first point of contact, you will need to consider a wide range of information to ensure each patient's needs are progressed or referred on. This includes initial handling of complaints.
  • Use advanced communication skills when dealing with patients who may have special needs or exhibit challenging behaviour.
  • Use a networked computerised system to manage multiple diaries and input patient information.
  • Receive patients and prepare or advise them as necessary for their clinical care.
  • Ensure all documentation is completed, where appropriate.
  • Assist patients to use interpreting facilities when necessary.
  • Obtain personal details and other sensitive social and medical information, often of a complex nature. Handle all information in accordance with relevant legislation and with high regard for confidentiality.
  • Obtain and relay information from carers/relatives to the relevant clinician.
  • Provide information and advice about Adult Mental Health services and access to NHS emergency Mental Health, including out-of-hours services.
  • Receive and transmit information electronically using the Oxfordshire networked e-mail system.
  • Take responsibility for security of petty cash.
  • Sort and distribute incoming mail and process outgoing mail.
  • Provide general clerical support, including letter writing and correspondence when necessary.
