About the Role

We are seeking a highly organized and communicative individual to join our team as a Receptionist/Telephonist. As the first point of contact for our service users, families, and visitors, you will play a vital role in providing a welcoming and efficient service.

Key Responsibilities

  • Provide high-quality front-of-house service, responding to inquiries and resolving issues in a professional and courteous manner.
  • Manage incoming calls, emails, and voicemail messages, taking accurate messages and actions as required.
  • Facilitate the smooth running of reception, providing administrative support to clinics and ensuring the smooth operation of our services.
  • Work collaboratively with the wider admin team and management to achieve our goals and objectives.
  • Scan, photocopy, and shred service user documents as required.
  • Assist with the induction of new staff members and provide cover for other admin staff as needed.
  • Perform other duties as may reasonably be delegated within the grade and function of the post.

Requirements

  • Knowledge of office/reception procedures and a methodical approach to work.
  • Excellent communication and interpersonal skills, with the ability to remain tolerant, receptive, and responsive to people accessing our services.
  • Experience of working in a reception environment, dealing with patients/general public in person and by phone.
  • IT experience using Microsoft Office, particularly email and Word.
  • Approachable and helpful, with a flexible approach to work and the ability to multi-task and remain calm under pressure.
