Export Administrator Job Description

We are seeking an experienced Import & Export Coordinator to join our client's team at their office located in Crawley, West Sussex.

The ideal candidate will have experience in import freight forwarding, with the ability to work within a multi-role environment and work on other core activities within the export department.

Key Responsibilities:
  1. Custom Procedures: Complete custom procedures with total accuracy, ensuring deadlines are met both internally and those defined by customs.
  2. Invoice Generation: Generate accurate invoices to clients for all shipment-related charges.
  3. Information Management: Obtain and communicate internally and externally all necessary information to ensure correct measures are in place and customer needs are met.
  4. Documentation: Ensure documentation is up-to-date, loaded correctly, and make your Team Leader or Manager aware of any issues that may arise.
  5. Team Support: Proactively action duties on a daily basis, supporting the team during times of absence or holidays.
  6. Communication: Liaise with the UK importer/Shipper all the way through to the delivery.
  7. Knowledge Sharing: Share knowledge within the team and continually improve processes.
  8. Overseas Partnerships: Liaise with overseas partners to arrange collections and deliveries.
  9. Flight Scheduling: Organise and plan flight schedules.
Requirements:
  1. A Level 2 in English & Maths.
  2. Previous experience working within importing and exporting.
  3. Ability to work under pressure, with a strong eye for detail, and proficiency in MS Office programs including Outlook, Excel, and Word.
  4. Dedication to providing excellent customer service and strong organisational skills.
  5. Good working knowledge and understanding of: CDS, CHIEF & Sequoia Terms and endorsements of HAWB's, Home Use / T1's / NCTS, and incoterms and associated freight rate calculations, profiles, and rates.
