Operations Administrator

We are seeking an experienced Operations Administrator to join our team at the Greater Manchester Mental Health NHS Foundation Trust. As an Operations Administrator, you will be responsible for the line management of the admin team, ensuring the effective delivery of admin provision to the service. You will work closely with the Operational Manager to develop and implement admin systems that maximize efficiency in time and resources.
Key Responsibilities:- Line Management: Responsibility for the line management of the Admin & Clerical staff, including recruitment, retention, supervision, support, and appraisal.
- Performance Management: Performance management of staff under your line management.
- Admin Work: Delivering direct admin work alongside the Admin team.
- Training and Development: Ensuring personal development plans are updated regularly in accordance with Trust Policy.
- Compliance: Ensuring compliance with standards, practice guidelines, and Trust Policies and Procedures.
- Prioritization: Supporting the admin team in prioritizing tasks.
- Team Cohesion: Developing and maintaining admin team cohesion and spirit.
- Referral Processing: Processing all referrals into the service, ensuring relevant systems are updated accordingly.
- Admin Service: Ensuring an effective admin service is provided to meet the needs of service users.
- Communication: Dealing with calls to the base efficiently and professionally.
- Data Quality: Ensuring new data quality processes and systems are implemented to improve service user experience.
- Enquiries: Providing a first point of contact for written and telephone enquiries, using judgement to establish validity and priority.
- Patient Confidentiality: Handling referral enquiries while observing patient confidentiality.
- Service User Tracking: Tracking service users from referral to discharge, ensuring appointments and correspondence are within targets.
- EPR Systems: Checking patients' status, following up appointments, and amending demographic details as necessary.
- Mail Distribution: Receiving and distributing mail daily, using judgement and experience.
- Appointments: Planning and organizing appointments in clinical diary systems and Outlook diary systems.
- Meetings: Arranging meetings as required, using judgement and experience to prioritize cases.
- Workload Prioritization: Ability to prioritize workload effectively.
- Meetings Facilitation: Facilitating and managing meetings, including minuting and disseminating minutes.
- Appraisal Participation: Participating in the appraisal process with knowledge of the Knowledge and Skills Framework.
- Administrative Meetings: Attending and participating in regular administrative meetings.
- Trainee/Agency Administrators: Managing trainee/agency administrators, ensuring effective office systems are maintained.
Salary: £25,258 - £33,543 per annum (Band 5), depending on experience. Plus benefits, including annual leave, pension scheme, and professional development opportunities. Please note that the salary range may vary based on individual circumstances.
