At World Vision, we are committed to helping the most vulnerable children overcome poverty and experience fullness of life. We are seeking an experienced Administrative Coordinator to provide support to our different departments located in the London Executive office.

Key Responsibilities:

  • Coordinate the day-to-day operations of the office, including answering incoming calls, providing office tours, and managing office supplies.
  • Manage the performance of office equipment, including printers, and serve as the administrative/emergency point of contact for the office.
  • Provide resources for on/off-site meeting venues, maintain FOB accessibility and registry, and update address group lists.
  • Coordinate events such as the Day of Prayer, Christmas lunch, and annual picnic.
  • Ensure the visitor user guide is maintained and available for all staff and visitors.
  • Process annual Global Asset Verification and assist with shipping and receiving logistics.
  • Maintain the LEXO WV website and work on introductory letters for visa applications.
  • Manage annual DSE forms and vouchers, and work with the Regional Manager to oversee the CS budget.

Requirements:

  • 4-10 years of experience in office management and administration with C-level executives.
  • Excellent interpersonal communication skills and ability to build rapport with staff and senior leadership.
  • Knowledge of local statutory and regulatory requirements pertaining to managing facilities safely.
  • Excellent computer literacy and communication skills.
  • Ability to work in cross-functional team environments and independently.

Preferred Qualifications:

  • IOSH Managing Safely Certificate.
  • Knowledgeable in basic accounting processes.
  • Ability to work responsively in a fast-paced environment and accomplish multiple tasks simultaneously.
