Role Overview


We are seeking an experienced and proactive Administrative Coordinator to join our team at Ad Warrior Ltd.


The ideal candidate will have strong organisational and communication skills, with the ability to work effectively in a fast-paced office environment.


Main Responsibilities



  • Provide administrative support to the Head of Support Services, Head of Marketing, and Company Directors.


  • Manage office operations, including the efficient running of the office, and maintaining office supplies.


  • Coordinate travel arrangements, book and keep track of flights, other transportation, and hotels for Bluewater Bio staff.


  • Organise team events, manage weekly location forms, and maintain office correspondence.


  • Reconcile credit card statements, manage petty cash, and book parcel shipments.


  • Liaise with office building landlords for repairs and access, and external waste collection suppliers.


  • Manage IT tasks, including regular server backups, security cameras, and alarm systems.


  • Provide equipment and assist team members with IT needs as required.



Requirements



  • Executive Support and/or Administration and/or Project Coordination experience desirable.


  • Strong numerical skills, Microsoft Office proficiency, and organisational abilities.


  • Clear and effective communication skills, initiative, and proactivity.


  • Time and workload management, discretion, and confidentiality.


  • Scheduling, planning, multitasking, professionalism, confidence, and self-motivation.


  • Flexibility and teamwork-oriented.
