About the Role

We are seeking a highly skilled and experienced Senior Personal Assistant to provide exceptional support to the Group Director of the Economics and Analytics Group at Ofcom.

The successful candidate will be responsible for providing proactive diary management, coordinating meetings, and making administrative arrangements. They will also be the first point of contact for senior external stakeholders and their offices, and will assist with the preparation and collation of meeting papers.

Key Responsibilities
  • Proactively manage the Group Director's diary, assessing priorities and making arrangements for meetings and travel.
  • Be the first point of contact for senior external stakeholders and their offices, providing exceptional customer service and support.
  • Assist with the preparation and collation of meeting papers, including commissioning papers when required.
  • Build meeting agendas and coordinate logistics, including taking minutes and actions as required.
  • Workday delegate for the Group Director, submitting expenses, timesheets, and approving on their behalf.
  • Produce high-quality written documents, such as letters, reports, and emails, with excellent attention to detail and accuracy.
  • Use initiative to respond to enquiries and pre-empt difficulties, building strong working relationships with other Group Director PAs across Ofcom.
  • Provide additional support to the team on shared tasks and other duties as required.
Requirements
  • Proven experience of supporting senior executives' diary schedules, including travel and events.
  • Able to produce clear written documents with excellent attention to detail.
  • Evaluating problems: Proactively identify and generate insights and solutions without much guidance.
  • Executing Plans and Embracing change: Excellent organisational and time management skills, using judgment to prioritise tasks and set clear goals.
  • Relationship management and communication: Interacting with people at all levels and communicating effectively.
  • System knowledge: Proficient in Microsoft Teams and Office, SharePoint, and Workday (desirable).
