About the Role
We are seeking a highly skilled and organized Medical Secretary to join our dynamic team at Oxford Health NHS Trust. As a Medical Secretary, you will play a vital role in supporting our clinicians and providing exceptional administrative support to ensure the smooth delivery of our services.
Key Responsibilities
- Provide clerical support to named Consultant Psychiatrists and the Adult Mental Health Team (AMHT), including co-ordinating consultant/team diaries and ensuring all appointments are prepared for and electronically captured.
- Compile and send medical reports, clinical letters, and correspondence using system set pro-formas and from digital dictation.
- Manage and prioritize your own workload, ensuring high-quality documentation is produced to support the work of the consultant and the AMHT.
- Receive and open referrals within agreed timeframes, updating the internal audit spreadsheet FACT board and assisting in the maintenance of the teams FACT boards during daily team meetings.
- Answer the AMHTs main telephone line, processing enquiries, signposting where appropriate, and taking messages in a professional manner.
- Liaise with patients to book and confirm attendance at both face-to-face and digital appointments.
- Check patient demographics and update information held to ensure high standards of data quality are maintained.
- Provide reciprocal cover in the absence of other clinical support officers and assist with the supervision, coaching, and training of Junior Administrators in the team.
- Maintain rotas and lists for required Mental Health Act actions for the AMHT as required.
- Suggest and make recommendations for improvement to existing administration procedures.
- Provide a polite and efficient reception service for the AMHT when required.
- Record incidents, accidents, and near misses on the Ulysses system.

- Self-motivation and ability to work autonomously, showing initiative and working within an administrative team.
