About the Role

We are seeking a highly organized and detail-oriented Medical Secretary to join our dynamic team at Oxford Health NHS Trust. As a Medical Secretary, you will play a vital role in supporting our clinicians and providing exceptional patient care.

Key Responsibilities

  • Provide clerical support to named Consultant Psychiatrists and the Adult Mental Health Team (AMHT)
  • Coordinate consultant/team diaries and ensure all appointments are prepared for and electronically captured
  • Compile and send medical reports, clinical letters, and correspondence using system set pro-formas and from digital dictation
  • Manage and prioritize own workload, ensuring high-quality documentation and efficient service delivery
  • Assist in the maintenance of the teams FACT boards during daily team meetings
  • Answer the AMHT's main telephone line, processing enquiries, signposting, and taking messages in a professional manner
  • Liaise with patients to book and confirm attendance at both face-to-face and digital appointments
  • Check patient demographics and update information held to ensure high standards of data quality
  • Provide reciprocal cover in the absence of other clinical support officers
  • Assist with the supervision, coaching, and training of Junior Administrators in the team
  • Maintain rotas and lists for required Mental Health Act actions for the AMHT as required
  • Suggest and make recommendations for improvement to existing administration procedures

Requirements

  • Experience working in an administrative role
  • Self-motivated and able to work autonomously, showing initiative and working within an administrative team
  • Compassionate, caring, and with excellent communication skills
  • Flexible and positive attitude with a willingness to accommodate our service
