Job Summary:

We are seeking a highly organized and detail-oriented Office Coordinator to join our team at Acorn by Synergie. As an Office Coordinator, you will play a vital role in ensuring the smooth operation of our office and supporting our administrative functions.

Key Responsibilities:

  • Administrative Support: Provide administrative support to our team, including answering phone calls, responding to emails, and maintaining accurate records.
  • Document Management: Maintain and update job cards, yard reports, and other documents using our in-house system.
  • Estimate Preparation: Prepare estimates for customers following inbound inspections.
  • Parts Coordination: Work closely with the Parts department to ensure the correct parts are allocated to each job.
  • Accounts Support: Assist the accounts administrator with purchase order requests, system updates, and filing.
  • Customer Interaction: Communicate with customers to request start-up numbers as needed.
  • General Administration: Perform general administrative tasks and ad hoc duties to support smooth operations.

Requirements:

  • Technical Skills: Proficiency in Microsoft Office and general computer literacy.
  • Communication Skills: Excellent customer service skills and ability to communicate effectively with colleagues and customers.
  • Organizational Skills: Strong organizational skills with the ability to prioritize tasks efficiently and manage varying workloads.
