Job Title: Residential Sales and Lettings Coordinator

Carter Jonas is seeking an experienced and skilled Residential Sales and Lettings Coordinator to join our thriving residential lettings and sales team based in Barnes, London.

As a key member of our team, you will be responsible for providing highly efficient administrative support to the team by undertaking a wide variety of tasks including invoicing, call handling, typing, and preparation of communications and documents, maintenance of file systems, and diary management.

You will be working closely with our Property Managers, Assistants, and Sales/Lettings Negotiators to service a variety of clients within the Borough of Richmond upon Thames, including Kew Authority and all relocation agents.

Main Responsibilities:
  • Produce accurate and well-presented documents, including reports, client correspondence, and presentations, within agreed time frames.
  • Liaise with tenants and landlords regarding incoming and outgoing tenancies.
  • Copy typing, drafting of letters, reports, invoices, property particulars, and other documents.
  • Input to diaries and organizing meetings.
  • Deal with change of sharers, including producing Addendums or Deeds.
  • Ensure new tenancies proceed smoothly with all correct documentation completed in a timely manner.
  • Carry out timely and accurate administration of databases.
  • Provide a high level of efficiency and customer service to all who visit or contact the office.
  • Provide general administration support to the office, including other partners, managers, and staff as reasonably required.
  • Handle enquiries over the telephone or personally in reception and take any necessary action.
  • Maintain close communication with other administrators across different divisions to help ensure the efficient running of the department.
Requirements:
  • Excellent administration/coordination skills.
  • Strong customer service, excellent written and verbal communication skills, and good time management.
  • A strong team player, with the ability to work well under pressure to meet deadlines.
  • IT literate and proficient in Microsoft packages, including Word, Excel, and Outlook, and comfortable working with databases and any relevant software.
