Administrative Support Assistant

The purpose of this role is to provide administrative support to the practice team, ensuring a positive and friendly image to patients and visitors. Key responsibilities include receiving and directing patients, undertaking administrative duties, and facilitating effective communication between patients, healthcare professionals, and other agencies.
Key Responsibilities- Provide general assistance to the practice team, including secretarial and clerical support to clinical staff.
- Receive, assist, and direct patients in accessing the appropriate service or healthcare professional.
- Process personal and telephone requests for appointments, visits, and telephone consultations.
- Process and distribute incoming and outgoing mail, and maintain the practice appointments system.
- Take messages and pass on information accurately, and maintain confidentiality.
- Perform data entry, data allocation, and collation, and process repeat prescriptions in accordance with practice guidelines.
- Initiate contact with and respond to requests from patients, team members, and associated healthcare agencies.
- Clear and restock consulting rooms as required, and provide clerical assistance to practice staff.
- Order and monitor stationery and other supplies, and dispose of confidential waste appropriately.
- Provide refreshments for staff and visitors, and maintain the reception area, notice-boards, and leaflet dispensers.
- Ensure building security, and participate in team meetings.
- A thorough working knowledge of practice procedures and protocols.
- The ability to work in accordance with practice policies and procedures.
- Effective communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Basic computer skills and data entry experience.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
