The Administrative Support Specialist will be an integral member of a team dedicated to providing a seamless and effective Business Management Support service within the Corporate Governance framework.

The ideal candidate will exhibit flexibility and collaboration as part of the broader Corporate Governance team, assisting the Director of Corporate Governance and Board Secretary in delivering compliant and efficient services while ensuring operational continuity.

Key Responsibilities

  • Serve as the primary contact for the team, addressing a variety of inquiries and concerns from colleagues, service users, and external organizations.
  • Handle complaints, feedback, and suggestions with sensitivity and professionalism, escalating issues as necessary.
  • Clearly articulate complex administrative and team processes to colleagues, patients, or external entities in an accessible manner.
  • Collaborate with fellow administrators and PAs across the organization to foster effective communication networks, including visitor management and coverage of general administrative duties.
  • Uphold a positive representation of the Service in all interactions, demonstrating professionalism, tact, and helpfulness.
  • Exercise sound judgment in addressing inquiries, resolving issues independently when possible, and escalating matters appropriately.
  • Plan and execute administrative tasks autonomously, while seeking guidance from the line manager as needed.
  • Draft and prepare various documents, including letters, emails, and reports as required.
  • Organize and coordinate meetings for the Corporate Governance team, managing any associated administrative tasks.
  • Prepare meeting agendas and take detailed notes during discussions.
